EXPERIENCE.

EVENT & EXPERIENTIAL DELIVERY

TEAM BEST PRACTICE

Early involvement on every event, activation and live experience — production considerations before concepts, realistic timelines, and no scope expansion without review.

↘ FROM DAY ONE

EARLY INVOLVEMENT.

The Experience team should be involved at the earliest possible stage of any event, activation, sponsorship, retail, trade show or live experience conversation. No experiential opportunities are presented to clients without Experience consultation.

  • Early feasibility prevents overpromising
  • Budgets are allocated more realistically
  • Timings become achievable
  • Better strategic ideas emerge
  • Supplier / site availability is maximised

↘ WITH THE STUDIO

STUDIO COLLAB.

PRODUCTION CONSIDERATIONS DECK.

The Experience team provides a Production Considerations Deck prior to the Studio developing experiential concepts. This shapes creative thinking around materials, indicative budgets, available space, operational considerations, feasibility and production approach from the outset.

SOURCING ITEMS.

If the Studio requires the Experience team to source specific items, props or dressing elements, they must provide clear direction on exactly what is required — including reference imagery where possible — along with an indication of how flexible the solutions can be. This ensures maximum efficiency in sourcing, budgeting and feasibility exploration.

↘ THE GUARDRAILS

TIMELINES & SCOPE.

REALISTIC TIMELINES.

Experiential delivery requires significantly longer lead times than standard creative output.

  • Critical deadlines agreed upfront
  • Internal review rounds capped
  • Client feedback windows clearly defined
  • Rush projects escalated — commercial implications understood

NO SCOPE EXPANSION WITHOUT REVIEW.

Experiential projects are highly sensitive to scope creep. Any scope change must trigger:

  • Timeline review
  • Budget review
  • Resource review
  • Supplier feasibility review
